Terms and Conditions
1. Client Preparation & Fabric Requirements
Squaring & Trimming: The client must deliver the quilt top squared, flat, and free of loose threads.
Backing Fabric Size: Backing fabric must be at least 8 inches wider and longer than the quilt top (4 inches extra on all sides) to allow for proper longarm machine loading and roller tension.
Seam Construction: All seams on the quilt top must be secure. The automated machine head can catch on open or unpressed seams; Sand & Cedar Quilting is not liable for structural damage resulting from fragile or unraveled piecing.
Additional Prep Fees: A flat fee of $25.00 per hour applies if the business must press, square, piece backings, or trim threads to make the top machine-ready.
2. Digital Quilting & In-House Batting
Pattern Library: Clients must select an edge-to-edge (E2E) design from our approved digital catalog, or select the “I trust you, pick for me!” option.
Scaling and Density: The studio retains creative control over digital pattern scaling and stitch density to ensure structural integrity. Final stitched appearance may vary slightly based on quilt dimensions.
Custom Pattern Fees: If a client requests a specific digital pattern outside our current catalog, the client must cover the full digital licensing fee (typically $12.00–$15.00) required to purchase the digital file.
Mandatory Batting: To maintain machine safety, consistent stitch tension, and quality control, we exclusively use our in-house premium batting. Client-supplied batting is not accepted under any circumstances. Batting is billed by the linear inch used and itemized on the final invoice.
Mechanical Tolerances: Computerized longarm systems stitch with extreme precision; however, fullness or wavy borders in the client's piecing may still result in minor tucks or pleats that the software cannot automatically compensate for.
3. Turnaround Time & Schedule
Standard Turnaround: Our standard turnaround time is 2 to 3 weeks from the date the quilt top is received and logged into our system.
Schedule Fluctuations: Turnaround timelines are estimates and may fluctuate slightly during peak holiday seasons or in the event of necessary machine maintenance. Clients will be notified immediately of any projected delays.
4. Payment & Pricing Structure
Final Balance: The final balance, including exact calculated shipping costs, must be paid in full prior to return shipment.
Accepted Currencies: All transactions are processed securely in USD.
5. Shipping & Logistics
Inbound Shipping: The client is responsible for safely packaging and shipping their quilt top to our studio following our packing guidelines.
Outbound Delivery: All completed quilts are returned via tracked domestic carriers (such as USPS or FedEx).
Shipping Insurance: Base shipping includes standard carrier insurance. Additional high-value insurance to cover fabric/material costs must be requested and paid for by the client prior to return dispatch.
6. Abandoned Property Policy
Unclaimed Storage Fees: Items left unpaid or without shipping confirmation for more than 30 calendar days after final billing accrue a storage fee of $10.00 per week.
Right of Disposal: Quilts left unpaid or unclaimed for 90 calendar days are legally considered abandoned. The business retains the right to sell or donate the item to recover material, batting, and labor costs.
7. Limitation of Liability
Maximum Reimbursement: In the catastrophic event of machinery failure, fire, flood, or theft while in possession of the business, liability is strictly limited to the fair market replacement value of the raw materials (fabric only), or a maximum cap of $500.00, whichever is lesser.
